Enrollment/Re-enrollment
QUESTION:
I did the online registration, but it says "pending"...am I finished?
ANSWER:
As long as, after completing the online process; you have completed the paper forms (2 for Youth & 3 for Adults) & submitted them to your Enrollment Specialist with payment & any other steps the Club needs from you, then you are finished with your part in enrolling.
Your status will remain as "Pending" until the Club completes their process & then the 4-H Office completes theirs after the Club. Once the 4-H Office process is complete, then your status will change to "Active".
QUESTION:
No member will officially be re-enrolled until we (club leaders) give our approval, right? You’ll send us an email or something so we can confirm them, right? I’m asking because I don’t want anyone to be officially re-enrolled until they’ve paid. I don’t want our club to be billed for members that didn’t pay us.
ANSWER:
Correct they won’t be officially re-enrolled; in addition to me going in & “approving” them once I receive the required paperwork from you for each individual.
Step 1: Member / Volunteer enrolls on-line, downloads & prints the required forms (Medical Release, Waiver of Liability & the Volunteer Confidential Self-Disclosure)
Step 2: Member / Volunteer turns completed required forms in to their Club Leader / Enrollment Specialist.
Step 3: Club Leader / Enrollment Specialist review the forms for completeness then goes into the 4hOnline system & “Confirms” that person. NOTE: When you pull up the persons’ record, they’ll have a status of “Pending” until you click on “Confirm” for them.
Step 4: Club Leader / Enrollment Specialist turns completed required forms in to the 4-H Office.
Step 5: I’ll review the forms as well, then I’ll access 4hOnline & verify that you’ve “Confirmed” the person, I’ll then “Approve” them. NOTE: Once I “Approve” a Member / Volunteer, you will then see that they have a status of “Active”. I Will Not “Approve” anyone until I have received ALL the required completed paperwork from the Club Leader and see that the Club Leader has “Confirmed” them.
